Salary: £22,500 Per Annum

Hours: Full time - 35 Hours, Home based.

Job Purpose

As a member of the Retirement Living HR Team, and reporting to the Head of Learning & Development, the Learning & Development and Systems Admin is primarily responsible for ensuring L&D systems, applications and processes are configured and designed in line with business requirements. Support, across all regions, the smooth preparation, delivery and evaluation of learning activities ensuring a great learning experience for our learners.

Activities may include the following (the list is not exhaustive):

  • Responsible for the relationship and communication with L&D systems / applications providers and stakeholders ensuring their effective and efficient use from implementation to feedback, reporting and continuous improvement.
  • Design and maintain an effective reporting framework and proactively seek to improve automation of processes.
  • Coordinate the reporting and relationship with funding organisations.
  • To design, implement and utilise the LMS to effectively administer the implementation of learning programmes ensuring adherence to internal policies and processes, relevant legislation and branding (e.g. venue booking, invites,…).
  • To support the L&D team with the effective and efficient use of LMS and specific L&D software.
  • To support monitoring the L&D email and L&D communications’ plan using the right communication methods (i.e. intranet, email, communities,…).
  • To coordinate and produce reporting to analyse learning activities’ feedback, learning needs and other required data on a weekly, monthly, yearly or adhoc basis.
  • To administer suppliers and vendor management.
  • To act as a liaison between finance and suppliers and ensure purchase orders and credit card processes are adhered to, keeping budget information up to date.
  • To version control any L&D documentation ensuring shared information is accessible and up to date.
  • To coordinate the creation and maintenance of L&D instructions and manuals.
  • To act as a liaison between the L&D team, customers and internal / external providers.
  • To quality check and audit L&D activities to ensure ‘right first time’.
  • To support with the creation of HR reports from the HR system.
  • To support with specific projects or adhoc activities.

Person Specification

  • Experience with implementation and effective use of LMS, L&D systems and applications.
  • Proven track record of providing administration and project support services.
  • Demonstrable experience of events co-ordination.
  • Experience of working to measurable targets and deadlines.
  • Excellent written and verbal communication skills with the ability to adapt to a wide range of communication and learning preferences.
  • Ability to plan and organise workload, and undertake multiple tasks simultaneously to meet required targets and deadlines.
  • High level of literacy, numeracy, accuracy and attention to detail.
  • Independent and self motivated with the ability and initiative to take ownership and accountability for achieving departmental goals.
  • Strong IT skills with a good up to date working knowledge of IT software packages.
  • Strong team player with a positive and flexible approach to both work and colleagues.
  • To have the ability to travel independently as required.
  • Maintain Continuous Professional Development (CPD)
